Introduction

Actirova AI Tutor ("Actirova", "we", "us", or "our") operates actirova.com, our mobile apps, and related services (together, the "Service"). This Privacy Policy explains what information we collect when you use the Service, how we use and share it, the choices you have, and how to contact us.

By creating an account or using the Service, you agree to the practices described here. We keep this policy readable on purpose — no legal mazes. If anything is unclear, email privacy@actirova.ai and a human will reply.

Information we collect

We collect the minimum information needed to make the Service work and improve over time:

  • Account information — name, email address, password (hashed), and profile details like your interests and skill level.
  • Learning data — courses, flashcards, quizzes, reports, study plans, and career documents you generate or save, plus your progress and completion history.
  • Classroom data — for instructors and students, class membership, assignments, submissions, grades, attendance, and discussions.
  • Payment information — processed securely by our payment provider (Paystack). We do not store full card numbers; we keep only transaction records for accounting.
  • Authentication data — if you sign in with Google, we receive the profile information you authorize (name, email, and avatar).
  • Usage and technical data — device type, browser, operating system, approximate region, pages visited, and how you interact with features.
  • Communications — messages you send through our contact, support, and help channels.

How we use your information

  • To provide the Service — generate content, track progress, manage credits, run classrooms, and keep your workspace in sync across web and mobile.
  • To personalize learning — adapt difficulty, recommend content, and tailor study plans to your stated goals and level.
  • To process payments — validate transactions, manage credit packs, and issue receipts.
  • To support you — answer questions, fix issues, and respond to your requests.
  • To improve the product — analyze aggregated, anonymized usage to make the Service faster, clearer, and more useful.
  • To keep things safe — detect abuse, enforce our Terms of Service, and protect our users and systems.
  • To send essential communications — account, billing, and security notices. Marketing email is opt-in and you can unsubscribe any time.

AI processing and your content

Actirova is an AI tutor. When you ask it to generate a course, quiz, report, or career tool, your prompt and the resulting content are processed to produce your output and are stored in your account so you can revisit, edit, share, and export them.

Your generated learning content is private to your account by default. We do not train our models on your personal study content, and we do not sell it. Where we use aggregated, de-identified data to improve quality, it never includes personally identifying information. Shared content (for example, a course link you choose to share) is only visible to people you share it with.

Cookies and similar technologies

  • Essential cookies — required for authentication, security, and basic features like keeping you signed in. Always active.
  • Preference cookies — remember your settings, such as theme and language.
  • Analytics cookies — help us understand how the Service is used so we can improve it. You can disable these in your browser settings.

How we share information

  • We never sell your personal information. Period.
  • Service providers — hosting, payments (Paystack), email delivery, and analytics partners who process data only under our instruction and confidentiality obligations.
  • Classroom context — within a virtual classroom, instructors and enrolled students see what the course owner decides to share.
  • Legal compliance — we disclose information if required by law, court order, or to protect the safety and legal rights of our users and the Service.
  • Business transfers — in the event of a merger, acquisition, or sale of assets, your information may transfer to the new owner subject to this policy.

Data security

  • Passwords are stored hashed and salted; we never store them in plain text.
  • Data is encrypted in transit (TLS) and at rest on secure infrastructure.
  • Access to personal data is restricted to authorized staff on a need-to-know basis.
  • We run regular security reviews, dependency audits, and monitoring for unusual activity.
  • Payments are handled by a PCI-DSS-compliant provider (Paystack); we do not handle raw card data.

No method of transmission or storage is 100% secure. If you believe your account has been compromised, change your password immediately and contact support@actirova.ai.

Data retention

  • Account data — kept while your account is active and for a short period after deletion to allow restoration.
  • Learning content — available for download in your account and for 30 days after you delete it.
  • Analytics — aggregated and retained for up to 24 months for service improvement.
  • Financial records — retained for the period required by applicable tax and accounting law.

Your rights and choices

Depending on where you live, you may have the right to:

  • Access — see a copy of the personal data we hold about you.
  • Correct — update inaccurate or incomplete information from your account settings.
  • Export — download your learning data and profile in a portable format.
  • Delete — request deletion of your account and associated data.
  • Restrict or object — limit how we process your data in certain circumstances.
  • Withdraw consent — where processing relies on consent, at any time.
  • Opt out of marketing — use the unsubscribe link in any marketing email, or contact us.
  • Lodge a complaint — with your local data protection authority.

International data transfers

Actirova operates globally and may use infrastructure providers in regions outside your country of residence. When your information is transferred internationally, we take steps to keep it protected — including standard contractual clauses where required — consistent with this policy and applicable law.

Children's privacy

The Service is designed for learners aged 13 and older. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us personal information without your consent, contact privacy@actirova.ai and we will delete it promptly. Schools using Actirova with students are responsible for obtaining any required parental consent.

Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will post the updated policy on this page and, where appropriate, notify you in-app or by email. The "Last updated" date at the top of this page reflects the most recent revision. Your continued use of the Service after changes take effect means you accept the updated policy.
